What's Included in the Price
Every Royal Carriage party bus booking includes:
- Professional chauffeur — licensed, insured, and background-checked
- Fuel and mileage — no extra charge for going from downtown to the suburbs
- Sound system — Bluetooth, AUX, USB, or bring your own Spotify playlist
- LED lighting and dance floor — standard on all party buses from 20 passengers up
- Coolers with ice — bring your own drinks, we supply the ice and cups
- Bottled water — restocked before every trip
- On-board restroom — on all mega buses (26 passengers and up)
You pay for the hours you book. If your event runs short, you do not get a refund on unused time. If it runs long, we charge the overage at the hourly rate in 30-minute increments.
What Drives the Total Price
Four things shape a party bus quote:
- Vehicle size. A 22-passenger bus costs 25% more than a 14-passenger bus for the same hours. Groups of 12 or fewer often save by renting two Sprinter vans instead of a small party bus.
- Hours booked. The 4-hour minimum is firm. Extending to 6 hours adds 2x the hourly rate, not a flat premium.
- Day of week and date. Saturday nights cost more than Tuesday afternoons. New Year's Eve, prom Friday, and Bears home game weekends carry a 20-25% date premium.
- Pickup location. Downtown and North Shore pickups are included in the hourly rate. Pickups in the far west or south suburbs (45+ minutes from our Niles dispatch) add a one-time reposition fee — typically $50-$100.
Tolls (Illinois I-Pass) and gratuity are separate. Most clients tip 18-20% on the hourly total.
Sample Costs for Common Events
Bachelorette party — 18 people, 5 hours, downtown bar crawl: Standard 22-passenger party bus at $229/hour x 5 hours = $1,145, plus 20% gratuity ($229) = $1,374 total. Split 18 ways: $77 per person.
Wedding shuttle — 40 guests, 4 hours, hotel to venue and back: Mega coach bus at $349/hour x 4 hours = $1,396, plus 18% gratuity ($251) = $1,647 total. Split across the couple's transportation budget, not per-guest.
Brewery tour — 14 people, 6 hours, Goose Island to Half Acre to Revolution: Small party bus at $199/hour x 6 hours = $1,194, plus 20% gratuity ($239) = $1,433 total. Split 14 ways: $103 per person.
Bears game tailgate — 26 people, 5 hours, Naperville to Soldier Field: Limo bus at $249/hour x 5 hours = $1,245, plus 20% gratuity ($249) = $1,494 total. Split 26 ways: $58 per person.
How to Pay Less
Five ways to cut the price without cutting the experience:
- Book a weekday. Thursday night rates are 10-15% below Saturday. Works for corporate events and birthday dinners.
- Start early. A 3 PM pickup for a 4-hour block often beats the Saturday-night surge windows.
- Skip the 6-hour block. Most groups can do a city bar crawl in 4 hours if they pick 3 stops instead of 6.
- Right-size the bus. A group of 15 fits fine in a 22-passenger bus with luggage. A 30-passenger mega is overkill and costs 30% more.
- Split the cost upfront. Cash App or Venmo from each rider before the event. Avoids post-event awkwardness and nobody pays more than their share.
Booking and Cancellation
Deposit is 25% to lock in the date. The balance runs on the card on file the morning of the event. Cancellations 14 days or more before the event are refunded minus a $50 admin fee. Cancellations inside 14 days forfeit the deposit. Cancellations inside 48 hours are billed at the full rate because the vehicle is off the market for that slot.
We confirm every booking by email and text with chauffeur name, vehicle photo, and license plate 24 hours before pickup.
